Not because they're bad. But because the problems change. At $0, you need speed and simplicity. At $1,000/month, you need consistency. At $10,000/month, you need leverage — the ability to do more without adding more time.

Here's the stack I built as I scaled from $1K to $10K per month.

MadeThis — Still the Core

I want to say this clearly: I never outgrew MadeThis. A lot of people assume that scaling means switching to something more complicated. It doesn't. MadeThis handles high volume, supports product suites, and has the affiliate features I needed to build passive referral traffic as I grew.

ConvertKit (Now Kit) — Upgraded Email

Once I hit a few hundred subscribers, I moved from MailerLite to ConvertKit. The automation builder is more powerful, the tagging and segmentation features are better, and the deliverability is excellent.

More importantly, it has native integrations with selling platforms that let me tag buyers automatically, trigger post-purchase sequences, and segment by product — so I could send the right message to the right person at the right time.

Email is what took me from $3K/month to $8K/month. Upgrading my email tool was one of the highest-ROI decisions I made.

A/B Testing via Google Optimize (Free) or Hotjar

At this stage, conversion rate optimization becomes real. You're getting traffic — the question is whether your pages are converting. Tools like Hotjar let you see heatmaps and session recordings so you can understand where people are dropping off.

I used the free tier of Hotjar for months and found genuinely actionable insights. The feedback widget alone helped me rewrite product descriptions that doubled conversion rates on two products.

Zapier — Automation Glue

Zapier connects tools that don't natively talk to each other. As my stack grew, I used Zapier to:

  • Add new buyers to a Google Sheet for tracking
  • Send Slack notifications when sales came in
  • Trigger a personalized welcome email outside my standard sequence

It's not glamorous. But small automations compound into real time savings when your business is running hundreds of transactions a month.

Ahrefs or Semrush — Serious SEO Data

The free keyword tools that work fine at the start stop giving you what you need when you're trying to scale organic traffic seriously. I upgraded to Ahrefs at around $5K/month and it immediately paid for itself.

With Ahrefs, I could see which blog posts were almost ranking, find content gaps compared to competitors, track keyword movements over time, and discover backlink opportunities. SEO went from a guessing game to an actual strategy.

Loom — Async Communication and Course Content

Once I started creating video-based products, I used Loom to record tutorials and walkthroughs. It's fast, produces clean MP4s, and the free tier is generous. I also started using it to send personalized thank-you videos to high-value customers, which improved retention noticeably.

Notion (Upgraded Use Case)

At scale, Notion graduated from a personal notes app to an actual business operating system. I built product launch checklists, editorial calendars, customer feedback databases, and quarterly revenue trackers — all in Notion. Still free for solo use.

The $10K Stack in Summary

  • Selling: MadeThis (upgraded plan)

  • SEO: Ahrefs or Semrush
  • Analytics: Google Analytics + Hotjar
  • Automation: Zapier
  • Video: Loom
  • Organization: Notion

The total spend at this stage was around $150–200/month. On a $10K/month business, that's 1.5–2% of revenue going to infrastructure. Very reasonable.

What I dropped at this stage: multiple free tools I was using out of necessity. I consolidated where I could, because managing too many logins and systems is its own tax on your time and attention.
