I'm going to make an argument that probably sounds wrong at first: most online business owners have too many tools.

I know this because I was one of them. At one point I was paying for eleven different SaaS products, spending probably four hours a week in "systems maintenance" mode, and feeling like I was always one more tool away from everything clicking into place.

It didn't click. I cut the stack. Revenue went up.

Here's my honest list of what you actually need to run a $10K/month online business — and nothing else.

Tool #1: A Platform for Your Products

Everything starts here. You need somewhere to host and sell your products.

The math is simple: content drives traffic, traffic drives sales. At $10K/month, you need consistent content output. AI writing assistants are how you maintain that output without burning out.

I write four blog posts, three email newsletters, and the copy for any new product every month. Without AI assistance, that probably takes 40–50 hours. With it, about 15–20. The time difference is where business growth actually happens.

The key: use AI as a first-draft and edit tool, not a publish-and-forget tool. The outputs need your voice, your specifics, your examples. But the blank page problem — which used to be the biggest bottleneck — goes away.

Tool #3: An Email Platform

Email is your highest-converting channel if you're selling digital products. Period.

I use Kit (ConvertKit), primarily because of the free tier (up to 10K subscribers free) and the automation capabilities. Once someone gets on my list, sequences run automatically — welcome, nurture, sales, post-purchase — without me touching them.

At $10K/month, a significant portion of that revenue is coming from repeat buyers and re-engagement emails. People who bought one thing and got a well-timed email about a related thing. That automation is what makes email so powerful at scale.

Pick Kit, set up three automated sequences (welcome, launch, post-purchase), and let it compound.

Tool #4: SEO Intelligence

The $10K/month milestone typically requires significant organic traffic. You can't build that without understanding what people are searching for and whether your content has a realistic shot at ranking.

I use Ahrefs. It's expensive ($99–$199/month), but at $10K/month revenue, it's a rounding error. The keyword research, content gap analysis, and rank tracking features directly inform what I create — which directly affects revenue.

If you're not at $10K/month yet and can't justify Ahrefs, use the free tier of Ubersuggest combined with Google Search Console. It's less powerful but covers the basics.

The point: know what keywords you're targeting before you create content. Flying blind on SEO is a slow, expensive way to find out what you should have researched upfront.

Four tools:

Total monthly cost: approximately $150–$250/month at scale. Against $10,000/month in revenue, that's 1.5–2.5% of revenue on tooling. Any real business should be comfortable with that ratio.

Everything else — the fancy analytics dashboards, the social media schedulers, the project management software, the extra AI tools — is optional. Most of it is a distraction.

The Real Reason People Have Too Many Tools

It feels productive to add tools. The research, the trial periods, the setup — it all feels like forward motion. But it isn't.

Forward motion is content published, products launched, emails sent, sales pages optimized. Tools support those activities. They don't substitute for them.

If you're adding tools because you don't want to face the scarier work of actually building and promoting your business, notice that. And then close the browser tab with the new SaaS comparison you were reading and go write a blog post or work on your product.

The businesses I've watched scale past $10K/month don't have the most tools. They have the fewest tools they can get away with — and they spend the rest of their time on the work.
