How to Use Notion AI to Run Your Online Business
How to Use Notion AI to Run Your Online Business
I've been running my online business inside Notion for over a year. It started as just a place to organize my content calendar and jot down ideas. Somewhere along the way it became the operating system for everything — projects, finances, customer notes, product roadmap, editorial planning, the works.
When Notion added AI, it didn't change that setup. It amplified it.

Here's exactly how I use Notion AI in my online business, what it's genuinely useful for, and the places where it still frustrates me.
What Notion AI Actually Is
Notion AI is an AI writing and summarization layer built directly into your Notion workspace. It can:
- Draft text inside any page
- Summarize long documents
- Rewrite or improve existing copy
- Generate tables, action items, or meeting notes
- Answer questions about your documents
- Translate, simplify, or change the tone of writing
You access it by hitting the spacebar in any Notion block or using the AI button in the toolbar. It's context-aware in the sense that it can reference the current page — though it doesn't have full workspace access to all your pages.
The subscription adds $8–$10/month on top of your existing Notion plan.
How I Actually Use It
1. Drafting Blog Post Outlines
My content calendar lives in Notion. When I decide to write a post, I create a new page in my "Blog Pipeline" database and immediately ask Notion AI to draft an outline based on the title and target keyword.
The outlines aren't always perfect, but they're a useful starting point — especially for topics I've written adjacent content on before. It usually takes five minutes to refine the outline into something I'd actually write from.
2. Writing Product Descriptions
I sell digital products, and product descriptions are one of those tasks I used to dread. Notion AI changed that. I give it the product name, what it is, who it's for, and three bullet points about what's inside — and it drafts a description in about 30 seconds.
I edit it. I always edit it. But going from blank page to editable draft in 30 seconds is the difference between this task taking 20 minutes and taking 2.
3. Summarizing Research and Competitor Analysis
I have a "Research Vault" database in Notion where I dump articles, notes, and market research. Notion AI can summarize any of these pages and pull out the key points.
If I've collected 12 articles about a topic and need to synthesize them before writing, I can ask AI to summarize each one and then work from those summaries rather than rereading everything.
4. Weekly Review Template Auto-Fill
I run a weekly review every Sunday. It's a checklist of questions about the week — what worked, what didn't, what I want to prioritize next. Notion AI helps me draft the initial responses based on notes I've accumulated through the week.
I then edit and deepen the responses. But having a starting point makes the review go faster and go deeper.
5. Email Draft Starters
For newsletters and email campaigns, I write my thinking into a Notion page — the point I want to make, the specific outcome I want, the story I'm telling. Then I ask Notion AI to draft an email from those notes.
The draft is usually 70% there. The remaining 30% is adding my voice back in, tightening the CTA, and adjusting the tone.
Where Notion AI Falls Short
I want to be honest here. Notion AI is not the most powerful AI writing tool available. If you compare it directly to Claude or GPT-4, the output quality on complex long-form content is noticeably lower.
The value is in integration, not raw capability. The reason I use it is that my business already lives in Notion. Having AI one keypress away inside my existing workflow removes friction. I don't have to switch tabs, copy-paste content, or manage a separate tool.
If your business doesn't live in Notion, Notion AI is a much weaker case.
The Stack That Actually Works
My actual AI workflow for content creation combines a few tools. Notion AI handles quick in-context tasks. I bring in Claude or ChatGPT for longer, more nuanced pieces. And MadeThis has some AI assistance built in for product and business-level tasks.
The goal isn't to use the most powerful AI tool for every task. It's to use the right tool at the right point in the workflow with the least friction.
Getting Started With Notion AI for Business
If you want to use Notion AI in your online business, here's where I'd start:
- Set up your business database — content pipeline, product list, customer notes
- Enable Notion AI on your plan
- Try it on one recurring task first — your next product description or blog outline
- Build the habit before expanding — don't try to AI-automate everything at once
The biggest mistake I see is people using AI to do everything before they've figured out where it actually saves them time vs. creates more editing work.
Start small. Find the two or three tasks in your workflow that are tedious but structured. That's where AI tools like Notion AI shine.
